Privacy Policy

Last updated: 1 August 2026

This policy explains what personal data SetBuddies collects, why, and what control you have over it. SetBuddies is operated by AscendOlive ("we", "us", "our"). If anything here is unclear, email us at support@setbuddies.com.

1. Who this applies to

SetBuddies is available globally. Wherever you're based, we handle your data as described in this policy. If local law gives you additional or different rights, those apply too — see Section 8. This policy also covers anyone who messages us through the contact form on this website, even without a SetBuddies account.

2. What we collect

Account information

Profile information you choose to add

Health and emergency information (entirely optional)

This section only appears if you fill it in. It's shown to your current training group, since the entire point is that a training partner can act on it if something goes wrong — see Section 5 for how sharing within a group works.

Training data

Group information

Feedback you submit

If you use the in-app feedback prompt, we store the message you write together with your account and your group's size at the time. We use Claude (Anthropic) to automatically judge whether it's complimentary or constructive. Feedback rated positive may be featured publicly on this website as a short, trimmed quote — never with your name, only an anonymized label like "Group of 2". Feedback describing a problem or an improvement is routed to us privately and is never published.

Contact form messages

Device and notification information

Emergency-alert records

If you or someone in your group triggers the Emergency feature, we keep a short record of who triggered it, who it was for, and when — so it isn't accidentally re-triggered and so there's a log if something needs to be reviewed afterwards. We do not collect your device's location as part of this feature, and we have no way to know whether an actual phone call took place — see our Safety & Emergency Disclaimer for how the feature actually works.

Automatically collected information

A session cookie that keeps you logged in, and ordinary web-server logs (IP address, browser type, timestamps) generated by the underlying infrastructure. If the app hits an unexpected error while you're using it, we log the error message, a technical stack trace, which screen it happened on, and your account id (if you were logged in) — purely to diagnose and fix bugs, kept separately from your training data, and not used for any other purpose. We don't use advertising or cross-site tracking cookies, and we don't run any third-party analytics or ad trackers inside the app. See our Cookie Policy for the marketing website.

3. How we use your data

We do not sell your data, and we do not use it for advertising.

4. Who we share it with

We use a small number of outside services to run SetBuddies. Each only receives the minimum needed to do its job:

We don't share your data with anyone else, and we don't have any data brokers, ad networks, or analytics platforms in the mix.

International transfers

Some of the services above are based outside the UK/EEA (including in the United States). Where we transfer personal data internationally, we rely on the safeguards those providers make available for exactly this purpose (such as standard contractual clauses), consistent with UK GDPR requirements.

5. Visibility within your group

SetBuddies is built around small, invite-only training groups (up to 5 people). Some information is deliberately visible to your current group, not just to you:

This visibility is the actual point of the product — a group can't hold you accountable, or help in an emergency, without seeing this. It stops being visible to a group the moment you leave it. Choose who you group with accordingly.

6. The Emergency feature

SetBuddies's Emergency feature notifies your group and surfaces one-tap links to call your region's emergency number and your emergency contact. It does not automatically contact emergency services or anyone else, and it does not collect or share your device's location — every call still requires you to tap it yourself. Full details are in our Safety & Emergency Disclaimer.

7. How long we keep your data

We keep your data for as long as your account exists. You can delete your account at any time from Settings, which permanently removes your logged workouts, health information, account details, and any feedback you've submitted, and removes you from your group. This can't be undone. A short, non-identifying record of why you left is kept in aggregate to help us improve the product — it isn't linked back to your account or identity. Contact form messages aren't linked to an account, so deleting your account doesn't remove a message you separately sent us — email us if you'd like a past message deleted.

8. Your rights

Depending on where you live, you may have rights including the ability to:

To exercise any right not already self-serve in the app — including deleting a message you sent through the contact form without an account — email support@setbuddies.com. If you're in the UK or EEA, you also have the right to lodge a complaint with your local data protection authority (in the UK, the Information Commissioner's Office).

9. Children

SetBuddies is not directed at, and may not be used by, anyone under the age of 16. We don't knowingly collect data from anyone under 16. If you believe a child has created an account, contact us and we'll remove it.

10. Security

We use industry-standard measures to protect your data — passwords are hashed, sessions run over HTTPS, and access to production systems is limited. No system is perfectly secure, and we can't guarantee absolute security, but we take reasonable steps to protect what you share with us.

11. Changes to this policy

If we make material changes to this policy, we'll update the date at the top and, where appropriate, notify you in the app.
